How to Choose Office Wi-Fi

Step 1: Figure Out What You Actually Need

Before you start buying fancy-looking gear, assess your network requirements. Start with a headcount— this will include both regular staff and approximate guest usage. Most users have at least two devices: a smartphone and a laptop. And these aren’t just checking email—they’re streaming, Zooming, uploading, and downloading all day.

Consider what kind of traffic will be passing through your wireless network. The more you understand your environment, the easier it is to avoid headaches (and complaints) down the road. 

Step 2: Hardwire the Heavy Hitters

One of the smartest moves you can make? Keep high-bandwidth devices—like servers, NAS units, and conferencing equipment—off the wireless network. Hardwire them. Not only does this reduce congestion for the rest of your users, but everything just works better that way. No buffering, no lag, no yelling “Can you hear me now?” on Teams.

Here’s where things get tricky. Yes, enterprise-grade network equipment can get expensive—but it’s often worth it. Investing in reliable, scalable technology means you won’t be tearing it all out and starting over in two years. As the wise and paraphrased Sam Vimes once said: “Buy once, cry once.”

That said, don’t overdo it. Oversized, overcomplicated solutions come with steep licensing costs—and if your company doesn’t need that kind of horsepower, you’re just lighting money on fire.

Look for the sweet spot: high performance, future-ready, and not built for Fortune 100 scale if you’re not headed that way (yet).

Step 5: Don’t Forget the Backbone (Router, Firewall, and ISP Plan)

Your shiny new access points and Ethernet cables won’t mean much if your router, firewall, or ISP bandwidth are underpowered. Everything—wired and wireless—funnels through these systems. If they can’t keep up, your whole network will feel sluggish or insecure.

Make sure the core components of your business Wi-Fi infrastructure have the muscle to match your network’s demands.
