Microsoft 365 Case Study: SharePoint, Power Apps, and Power Automate Migration

Migrating a Legacy Construction Project Management Application to SharePoint, Power Apps, and Power AutomateOverview

A construction company relied on an aging project management application built on IIS and Microsoft Access. As the system became harder to maintain, lacked vendor support, and couldn’t run on modern infrastructure, the pending server decommissioning made a replacement urgent. The organization chose to modernize with Microsoft 365—moving data to SharePoint, rebuilding the interface in Power Apps, and adding workflow automation through Power Automate. The result is a scalable, cloud-based platform that simplifies daily operations and reduces manual effort.

Key Vulnerabilities

The organization faced several pressing issues with the legacy system:

  • The application was no longer supported and had no available security updates.
  • The underlying technology—Access and IIS—was outdated and non-portable.
  • Approaching server decommissioning put ongoing project management at risk.
  • Manual processes and limited automation created inefficiencies and increased the chance of errors.

To maintain business continuity and support future growth, the team needed a solution that modernized the application without losing the familiar workflows staff relied on.

Solution

The company evaluated rebuilding the system, purchasing off-the-shelf software, and moving to cloud-based tools. Microsoft 365 offered the best balance of flexibility, integration, and cost efficiency.

The modernization strategy centered on three key components:

  • SharePoint to replace Access database tables with secure, scalable lists
  • Power Apps to recreate the web application interface with a modern, low-code experience
  • Power Automate to streamline task creation, notifications, and project tracking

This approach allowed the team to preserve existing business logic while upgrading to a more maintainable and future-ready environment.

Implementation

Migrating Access Tables to SharePoint Lists

The process began with a detailed review of the Access database. Each table was mapped to a corresponding SharePoint list, ensuring that data types, validation rules, and relationships were carried over. Historical data was exported and imported into SharePoint, with careful attention to preserving metadata and maintaining connections between different project phases.

This established a secure, cloud-based data structure that replicated the behavior of the original system while significantly improving reliability and scalability.

Rebuilding the Interface with Power Apps

With the data foundation in place, the team recreated the application’s front end using Power Apps. Each stage of the construction lifecycle—Planning, Design, Procurement, Execution, and Closeout—became its own screen within the new app.

Key interface features included:

  • Tab-style navigation for easy movement between project stages
  • A summary view of relevant SharePoint list data
  • Dedicated edit screens for updating project information
  • Consistent design patterns to minimize retraining
  • Responsive layouts for both desktop and mobile use

Field teams could now access and update information directly from job sites, improving collaboration and reducing delays.

Adding Automation with Power Automate

To reduce manual work and improve visibility, the team integrated several Power Automate workflows. These flows triggered automatically when users updated key date fields in SharePoint.

Automations included:

  • Task creation in Microsoft Planner or Outlook
  • Assignment of tasks to appropriate team members
  • Reminder notifications to ensure timely action
  • Real-time updates to project status in SharePoint

This automation framework reduced the burden of follow-up, improved consistency, and allowed managers to track project progress more effectively.

Results

The migration produced significant improvements across usability, maintainability, and efficiency:

  • Greater usability: A modern, intuitive Power Apps interface improved the user experience.
  • Easier maintenance: Updates to screens and lists can now be made without specialized development resources.
  • Enhanced automation: Workflows replaced manual task assignment, reducing errors and saving time.
  • Improved security: Microsoft 365 delivered stronger data protection and compliance controls.
  • Business continuity: The company transitioned smoothly off the decommissioned server without disrupting operations.

Looking Ahead

This project demonstrates how organizations can modernize aging applications using Microsoft 365 tools—achieving greater efficiency, accessibility, and scalability while reducing IT burdens. Many businesses still depend on legacy platforms like Access, yet modernization doesn’t require starting from scratch. By transitioning to SharePoint, Power Apps, and Power Automate, organizations can preserve what works while gaining the flexibility and reliability needed for the future.
